Email vs Formal Letter: Which Should You Use?
The right format depends on the seriousness of the message, whether you need a record, and how the recipient expects to receive it.
Use email when speed matters
Email is best for routine workplace messages, quick follow-ups, simple thank-you notes, and situations where the recipient already expects digital communication.
Use a formal letter when the record matters
Formal letters are better for resignation notices, complaints, payment requests, landlord issues, legal-adjacent notices, and anything you may need to reference later.
Hybrid approach
Many situations work well as a formal letter sent by email. Use a clear subject line, keep the body professional, and attach a PDF if needed.
Decision rule
If the message could affect money, housing, employment, school, or a formal deadline, use a letter-style format even if you send it electronically.
